1.5. Grant someone access/permission to your Outlook calendar

It is possible to give one or more other people (who are a part of the CLC intranet) access to your calendar in varying degrees. To give someone else permission to view, change, delete, etc. items on your calendar do the following:

To share your calendar in Outlook 2003, Outlook 2007, or Outlook 2010, do the following:  

  1. Open Outlook.
  2. Click Calendar on the left side of the window, or click Go > Calendar.
  3. Locate the area labeled, My Calendars, on the left side of the window. Your calendar is found here. It's probably called "Calendar" (not "Calendar in Personal Folders").
  4. Open your calendar's sharing permissions:
    1. Outlook 2003: Right-click on your calendar and select Sharing....
    2. Outlook 2007 or Outlook 2010: Right-click on your calendar and select Properties. Then click Permissions.
  5. Click Add....
  6. Type the last name of the person with whom you want to share your calendar. To search by anything other than last name, click Advanced Find.
  7. Select the name of the person with whom you would like to share your calendar, and click the Add -> button.
  8. Repeat steps 6 and 7 to add additional people.
  9. Make sure there are no duplicate names in the Add box. Then click OK.
  10. Select one of the names you just added. By default, the Permission Level is None.
  11. Select a role from the Permission Level: drop-down menu.
  12. We recommend choosing Reviewer or Editor.
  13. Repeat this step to assign a permission level to each person in the list.
  14. When you are done, click Apply and then click OK.

Your Exchange calendar is now shared. You should inform those you shared your calendar with so they can open it

*Don't give permissions to "Default" or "anonymous" unless you wish to make this a public calendar.

Hang on! You're almost done. Now the person who you have given permission to look at your calendar needs to add you. This is done on THEIR COMPUTER not yours. Here's the steps to actually viewing someone else's calendar:  
  1. In their Outlook, click on File and then go to Open and then to Other Users Folder...
  2. Click on Name... which opens Select Name.
  3. Select the name of the person whose calendar you want to use and the click OK.
  4. Make sure that in the drop-down menu labeled Folder Type: that Calendar is selected
  5. Click OK
